You will find this video meeting conference software very easy and intuitive to use, even if you have never used this kind of product before.
Here are answers to frequently asked question to help you make the most of your conferencing experience.

| 2. What operating systems are supported for the video conference software?
|
Windows XP, Windows Vista, (Windows 98, 98SE & ME editions are not supported. Windows 2000 – Not desirable)

| 3. What should I do before I download the software for the first time?
|
Your Norton's or McAfee ANTIVIRUS program should be temporarily turned OFF for best download. In some cases the above programs can corrupt the client file during download, remember to enable the anti virus program immediately after room download.

4. Our company runs a comprehensive firewall protection, are there any ports we should open?
|
| You should also open (enable) firewall ports 32768 + 32769 at your firewall settings.

5. How do I send someone my room link?
|
| Go to your room control web panel assigned to you > Go to "My Personal Rooms" Section On My Account Details. Simply right-click the target rooms' DOWNLOAD and Copy Shortcut... or Copy Link Location.. Paste this URL link to your Explorer / Fire fox web browser to activate the video meeting install process. OR Paste your room URL link inside an email to email contacts OR Place a Video Meeting Room Button On Your Web site And Simply Point This To Your URL Room Link

6. Is there a step by step guide to download and start the video conference software?

7. When I make changes to the settings inside my web control panel, they do not stick / change?
|
| When making setting changes to your room, make sure everyone is logged out of the room, otherwise updates WILL NOT SAVE if anyone is logged in your room.
|

8. I cannot turn on the whiteboard?
|
| Make sure you logged into your video meeting room as a moderator > Select “Follow me” mode > Click the Whiteboard icon located on the browser bar to turn on or off.
|

9. Guests in my room cannot see my desk top application such as PowerPoint?
|
| Guests must also have the applicable plugs-ins installed on their machine. For example – PPS Viewer, or PDF reader in order to view a PDF file.

10. My webcam does not work?
|
| After checking your webcam connection, make sure no other program was running before you started your video conference room. Ensure your Skype/ Messenger program / TV Tuner is not running to avoid Video Card / Web cam driver conflict (Or similar program that may use / allocate your audio/ video card)

11. Can we run other programs while using the video conference software?
|
| Yes, however we suggest not to run any un-necessary programs to ensure your PC has sufficient resources in order not to slow down the video conference software.
|
|

12. Does the video conference software use many system resources?
|
| No, the program is ideal to leave running even in your system tray. Under general use the program requires little resources, however, Desktop sharing features will definitely increase this.
|

13. How do we update our video conference software?
|
| Your video conference room client file automatically updates each time you start the software.
|
|
|
|
|
|
14. My video conference will not start?
|
| Assuming your internet connection is stable, the next possibility is your video conference room client file has been corrupted and therefore requires a re-install. Refer un-install and re-install procedure.
|
|
|
|
15. What is the correct un-install and re-install procedure?
|
Follow these directions to proceed to un-install and re-install the client file on your pc. Uninstall and Reinstall the Software.
To Perform a full reinstallation of the conference program follow these steps.
- Go to Start > Control Panel > Add or Remove Programs
- Uninstall (Audio/Video Conference)
- Close the Add or Remove Programs window.
- Go to Start > My Computer > c:/program files
- Delete the folder "conference" if it exists.
- Delete any icons and archives of "Conference" you might have on your desktop.
- Delete any room icons or conference files in your Trash Can.
- Disable any firewall/antivirus applications that are running.
- Download and install a fresh copy of the software again and log in accordingly.

16. What is the correct install procedure for Vista OS users?
|
|
The most common problem for Microsoft Vista owners / users occurs at install. To avoid problems, follow this procedure.
WINDOWS VISTA
"User Account Controls" (UAC) policies in Windows Vista by default runs programs with reduced privileges. This
is true even when your "User" is set as, and logged on as, Administrator.

If the conference program installs but won't run:
Right Click on icon (shortcut)
Click "Run as administrator" from the context menu.

Program won't install properly:
Temporarily turn "User Account Control" off:
Control panel | User accounts
Install the program (Make sure Nortons / McAfee is disabled first) and then turn "User Account Control"
back on. (You may want to test run after install then turn controls back on.)

This could work for many programs, not just the conference software.

17. Why wont the presentation modes work?
|
| Only moderators can use the presentation modes, guests cannot access these features.
|
|
|
|
18. I cannot push web pages through to my guests, how do I do this?
|
| Only moderators can push web pages to guests, you should select “Follow me” mode to do this. The program should auto-synchronize the web page, however, there is a manual option by selecting the Synchronize button.
|
|
|
|
19. How do I know if I’m logged in as a moderator or presenter?
|
| Inside your video conference room Moderators (member-name) will appear in blue, presenters in red.
|
|
|
|
20. How do I set myself up or others as a moderator?
|
| Log into your assigned conference room settings control panel and select “My Room Moderators” This area allows you to add / edit / delete moderators and generators a moderator password as required.
|
|
|
|
21. Can I lock down the Microphone?
|
| Only moderators can lock down the microphone using the check box beside the “Talk Now” button. Alternatively, users can select their F12 to press and hold to activate the microphone.
|
|
|
|
22. I cannot hear anyone or they cannot hear you, why?
|
If you cannot hear anything, first ensure that the your speakers are turned on – and are un-muted.
Next, be sure someone is actually speaking in the conference. In order to verify this once again refer to the small speaker icon bar. You should see a small animation of sound coming out. If there is no animated sound coming from the speaker icon it means that nobody is speaking and that your lack of hearing is normal behaviour. The best way to be sure if someone is speaking is when a Talk bubble appears beside the speaker.
If you have confirmed that someone is speaking and you still cannot hear, please check the following:
That your computer is not muted
That your computer's volume control is too low
That your speakers/headset are plugged into the correct port on your computer
That your speakers/headset are not muted or the volume is turned down
Test your headset – audio card is working.
As a final resort, try rebooting your computer.

23. I'm getting voice interruptions
|
Transmitting voice and images over the internet requires a stable connection to be preserved. If the audio from the presenter halts several times during a presentation there are a couple of things you should check.
Internet Connection Type: We recommend using either a standard DSL or cable connection. Satellite and dial-up connections are not able to maintain a stable connection to the servers.
Wireless Networking: Secure Conference requires a consistent high speed connection in order to transmit video and voice from the presenter to the attendees of the conference. In some cases, wireless connections do not provide a consistent and stable connection required to view the conference. If you are using a wireless connection, try connecting the computer viewing the conference directly to the wireless router or DSL/Cable modem.
Router: Connectivity related issues (audio dropping, connection notices, presenter's image problems, etc.), may be a result of a router related issue. Try connecting the computer directly to the internet connection point to bypass the router. If the performance improves, contact the router manufacturer for specific setup details for the router.
Firewall – Some strong firewalls could block both the audio or video streaming, ensure ports 32768 + 32769 are enabled.

24. Why wont my webcam work?
|
Transmitting webcam images over the internet requires a stable connection to be preserved. If the webcam from the presenter drops-out during a presentation there are a couple of things you should check.
First, if the room exceeds 25 people the webcam is designed to close down to conserve bandwidth for audio quality.
Internet Connection Type: We recommend using either a standard DSL or cable connection. Satellite and dial-up connections are not able to maintain a stable connection to the servers.
Wireless Networking: Secure Conference requires a consistent high speed connection in order to transmit video and voice from the presenter to the attendees of the conference. In some cases, wireless connections do not provide a consistent and stable connection required to view the conference. If you are using a wireless connection, try connecting the computer viewing the conference directly to the wireless router or DSL/Cable modem.

If you have confirmed that someone is speaking and you still cannot see their webcam or indeed your own, please check the following:
That your computer Video Card is NOT conflicting with another program: eg: Skype – Messenger etc.
That your webcam software is not running. (Logitec – turn off software in system tray)
That your webcam is plugged into the correct port on your computer
As a final resort, try rebooting your computer.

25. Movie - In order to be able to show a movie through the room, what format do I have to upload the movie? avi, mpeg? And once it is uploaded, what do I have to type in the url so as to view that movie?
|
| You would have to embed this movie in a webpage then simply pull that website up in The Conference Software. Any format that would normally play in Internet Explorer should work. Don't forget, not everyone has ALL plug-ins eg: Media player etc
|

26. Webcam Full Duplex / Multiple Webcams
|
| Full duplex two video webcam streaming is not yet available. Full webcam duplex is an on-going development for multiple webcams, however full duplex one-on-one webcam is expected within the new release scheduled for June 08.

27. Webcam quits after 25 people, why?
|
| The webcam is currently designed to transmit video whilst the conference room has 25 people or less. To activate the webcam, hold down the “Talk Now” button. Live video show is operated by Moderators only.
|

28. Why does my room freeze or lock up?
|
| Room lock-ups / freeze / room drop-out, usually results from an interrupted internet connection. Sometimes the connection may experience a micro drop-out causing the room to quit – much like a cell phone quits when the signal drops out. If this occurs, simply close the program and re-start the program.

29. How To Change The Audio Source in Vista ?
|
The method of changing audio sources in Vista differs than in XP. Please follow these steps to change the audio source using Windows Vista.
Click the Windows Start button in the lower left hand side
Click the Control Panel button
On the left hand side of Control Panel, make sure "Classic View" is selected. Double click the "Sound" icon (This should appear as a speaker)
Once these properties come up, select the "Recording" tab
Depending on the sound cards and devices setup on your computer, you may have a list of different options shown here.
Since it will vary on different computers, you may want to select the first item in the list and click "Set As Default"
You will see a small volume notch on the right hand side. With your music playing, you should see this volume notch show activity (green signal moving up and down)
If you do not see this activity, please keep your music going, but select the next item in the list and click "Set As Default."
Once you have selected and found the appropriate device, simply click Close, and you are set to go.

30. Can I record the conference session?
|
| Yes, you can record the audio of any conference session if you are a moderator. Select the record button and save the mp3 file to your computer. Recording both Video and Audio streaming is under development and as yet is not yet available.

31. How do I share a file?
|
Moderators - To share a file with an individual in the room, right his/her name and select file transfer. A permission request will be received by the recipient requesting accept / deny file.
Moderators – Can share a file with the group within the conference room, just select share file with all option.

32. How do I change my status signal?
|
| Each individual in the room can change their status by Right Clicking their own name. There are several to choose from: Online, Away, Not Available, I have a Question, Out to Lunch etc.

33. How do I have a One-On-One Audio Session?
|
| Moderators can choose an individual in the room to commence a one-on-one duplex audio discussion. This is achieved by Right clicking on the individuals name and choosing the one-on-one feature. The recipient will receive a request to start this and must accept or deny the request.

34. I cannot log into my room?
|
| To log into your room, start the conference client file, a log in box will appear to enter your name, room password (if one set) and moderator password should you check the moderator box. Both User and password name are case sensitive, please enter these exactly as provided.

35. Language – How do I change the language interface?
|
| To change the language room interface you need to be logged in as a moderator. There are multiple language skins available and are being progressively added too. Inside your room, Select FILE > OPTIONS > Language Interface> Select your language. NOTE: This changes the room interface for you – the moderator ONLY and guest’s in the room will not see any change.

36. Hands free Audio – How do I turn this on?
|
| Hands free Audio is available for Moderators only. Moderators can check the Mic Lock beside the “Talk Now” button.

37. As a moderator, can I interrupt or cut short someone speaking?
|
| Yes, moderators can (step on) interrupt a guest by simply interrupting using the “Talk Now” button and talking over the microphone.
|

38. How do I start Desk Top Sharing – Application sharing?
|
| Moderators can start Desk top sharing by selecting the Moderator pull down menu inside the conference room and choosing Desk Top Share, minimize your room and guests will see the moderators desk top or application. Remember, max 25 people for this feature at this time.

39. Remote Desk Top feature, how do I do this?
|
| Moderators can turn on the remote desk top feature by right clicking an individual’s name within the conference room and choosing the Remote Desktop button.

40. When a visitor logs in my room, I do not hear the door bell sound?
|
| Once logged in the room, select File > Options > Sounds Tab > Enable Sounds
|

41. Can I save the text chat top my computer?
|
| Yes, Once logged in the room, select Text > Save as> to your computer
|

42. Text Chat –During a conference Moderators can close the text chat area?
|
| Yes, Moderators can close the text chat area during a conference or even when no moderator is present. 1/ by selecting: Moderator > Medium Presentation Mode 2/ by the room setting control panel.

43. Meeting Room Sign in/out notification – How do I activate this?
|
| Once logged inside your room, select Text Chat > Options > Tick/check the options available there.

44. Can I change the text chat Fonts and Colors?
|
| Yes, Once logged inside your room select > Text Chat > Options > Fonts Change or Color Change.
|

45. How do I clear the text chat during a conference?
|
| Moderators can clear the text chat during a conference by selecting > Text Chat > Clear for all.
|

46. How can I close my webcam?
|
| Once logged inside your room, select > Webcam > Uncheck Active
|

47. How do I send a Private text chat?
|
| Once logged inside your room and a Moderator is present, Select the “Private To” box > Select the name of individual you wish to send a private text too. This text chat will not be viewed in the public text area.

48. Moderators do not see my Desk top sharing presentation, why?
|
| Moderators will not see the Desk top sharing or indeed the presentation as the same view as guests do.
|

49. Are the Moderator / Guest room views different?
|
| Yes, Moderators have all features available whereas guest’s do not.
|
| |

50. What are the different Presentation modes?
|
Standard mode: No presentation mode is active. Guests and moderators can use the browser to visit Websites independently of each of other.
Follow me mode: This is the first level of presentation. The presenter can visit pages and activate the whiteboard. Guests see what the presenter sees but they do not control the browser.
Soft presentation mode: Same as follow me mode except that now, the address bar in the browser is not shown to guests. This is great for visiting competitor Websites and content that is not for public access.
Medium presentation mode: We step it up a notch. The address bar is hidden to guests and the text chat is off. This is for instances where you want people to follow the presentation before asking questions or participating.
Hard presentation mode: Full screen mode. Guests only see the browser or whiteboard.

51. Can I use a still picture instead of the webcam?
|
| Yes, a jpg still picture can be used. Inside the conference room, Select > Options > Information Tab > Area to input jpg source.

52. Are we secure?
|
| Yes, we use some pretty high-tech encryption methods and I will spare you the technical geeky details and break it down to the following sentence: We use 64 bit ciphers and 128 bit fingerprints. Essentially, all of our data streams (audio/video/text) are encrypted pretty tightly. This means enhanced security for everyone!

53. Can I password protect my room?
|
| Yes, log into your room setting control panel and Select > “My Room Settings” > Password field –add your password and select update. Remember – updates will not stick / change if the room is not vacant or anyone is logged in.

54. Error, The Audio/Video conference software was not installed properly. Please launch the installation process again.
|
| Remove all instances (Un-install) the Conference Software from your pc including add/remove programs and Reinstall software.

55. I’m getting this error message trying to connect to conference room. “ROOMS SERVER WAS NOT FOUND”
|
| This could be caused by different things, like server maintenance, upgrades or an expired account. If your account is active and has not expired, we’d suggest a full un-install and re-install the program as per correct procedure.

56. I get an error message indicating it was not possible to enter or create a second room.
|
| Close down all open conference rooms, then start to open a room, but do not enter the room: Click cancel > click file > options, and check the box to allow multiple rooms, then you will be all set.
|

57. When I have multiple rooms opened on my pc, the webcam only works in the first room open?
|
| The webcam will only work in the FIRST conference room you open, this is because your video card drivers will only operate within one at a time.
|

58. Does Video Conference software work other Mac platforms?
|
| No, the conference software only works on Windows platforms. Windows XP, Vista , Windows Server 2003. Some users have reported using windows emulators on Mac platforms with mixed results.

59. When I attempt to use my download link for my room, I get the following message within the frame in my admin area this object has been blocked. If I use my link from an external browser page, I get a 403 forbidden message.

This error could only come from a firewall or internet security issue on your PC.
